Complaints Procedure
Women of Ancient Futures
Women of Ancient Futures is committed to providing high-quality trainings, programmes and retreats. If a participant nevertheless has a complaint regarding a training, programme, retreat or any other service provided by Women of Ancient Futures, the complaint can be submitted and handled according to the procedure below.
1. Submitting a complaint
A complaint must be submitted in writing to Women of Ancient Futures by email:

The complaint should clearly include:
● the name of the participant
● the training, programme, retreat or service to which the complaint relates
● a clear description of the complaint
● any relevant dates or correspondence
Complaints should preferably be submitted within 14 days after the issue has arisen.
2. Confirmation of receipt
Women of Ancient Futures will confirm receipt of the complaint within 5 working days.
3. Handling of the complaint
Women of Ancient Futures will treat the complaint with care, fairness and confidentiality.
The complaint will be reviewed and handled within 14 days after receipt. If additional time is required to investigate the complaint, the complainant will be informed of the reason for the delay and provided with an indication of the expected timeframe.
Women of Ancient Futures will make every reasonable effort to resolve the complaint in
mutual consultation with the participant.
4. Independent review
If the complaint cannot be resolved through mutual consultation, the complainant has the right to submit the complaint to an independent mediator or complaints officer appointed by Women of Ancient Futures.
The independent mediator may request additional information from both parties if necessary and will provide a written decision or recommendation aimed at resolving the dispute in a fair and reasonable manner.
The decision of the independent mediator will be considered binding for Women of Ancient Futures, and the organization will make every reasonable effort to implement the proposed resolution.
5. Confidentiality
All complaints will be handled confidentially and with respect for the privacy of all parties
involved.
6. Registration and retention
Complaints and the manner in which they are resolved will be recorded and stored for a
minimum period of two years by Women of Ancient Futures.
7. Additional provisions
Submitting a complaint does not suspend the participant’s payment obligations.
Women of Ancient Futures views complaints as an opportunity to improve the quality of its services and training programmes.
